5 Small Changes That Transformed My Clients' Businesses

Sometimes, it’s not the big rebrand, the six-month strategy plan, or the major launch that makes the biggest difference. Sometimes it’s the small changes, the ones that don’t feel groundbreaking or mega exciting in the moment, that completely transform how a creative business runs!

I’ve been reflecting on the behind-the-scenes tweaks I’ve helped my clients make. These are the things that have helped them feel more in control, more inspired, and more free. And they are honestly the changes that make everything else possible!

Here are 5 simple shifts that made a huge difference and I think every creative business and female founder needs to consider when their business starts to grow!

1. Inbox & Enquiry Tidy-Up

I’ve had clients come to me completely overwhelmed - flooded with DMs, emails sitting unanswered, potential clients slipping through the cracks.

The fix? I work with the clients to create a management system that includes:

  • Clear labelled folders

  • Organisation technique for inbound comms

  • Repeatable email templates

  • A simple process to track leads

Now they know exactly who’s contacted them, who’s been responded to, and what the next steps are. It saves time, energy, and missed opportunities, and also stops that overwhelm!

2. Call Scheduler With Built-In Boundaries

Let’s be honest: no one has time for calendar ping-pong and yet so many of my clients, before we start working together, are spending forever going back and forth over email trying to set up a call.

I always recommend setting up a call booking system (we love tools like Calendly or the Dubsado scheduler) that links directly to your calendar, and you manage your availability. It means your clients can book calls at times that actually work for you, and they’re automatically added to your calendar, without 15 back-and-forth emails. Suddenly, your calendar feels like freedom, not a trap!

3. Structured CRM System

Someone asked me what “CRM” stood for the other day - and it’s such a good question! It means Client Relationship Management, and it’s a total game-changer for service based businesses.

For many founders, I’ve set up tiered CRM systems that track the full journey from first enquiry to signed contract. You can even prioritise projects based on budget, timeline, or creative fit. It helps you stay in control, follow up with ease, and cherry-pick your dream clients. Dubsado is my number one pick for a CRM system!

4. One Living Content & Planning System

The creative chaos is real. Sticky notes, notes app screenshots and 17 open Google Docs. I see you! This is where a central planning hub changes everything. Using a project management tool brings everything into one place - from to-do lists to launch plans, social media content calendars to client onboarding workflows. Not only does it boost your productivity, it clears mental space too. My top recommendations for this are Asana and Notion

5. Building Support Systems to Step Away

Let’s be honest - most founders want to be able to build their business so they can have freedom. But that only happens when you have solid systems and trusted support in place. So many of my clients have reached that “next level” by delegating what they can and creating processes that don’t rely solely on them. Now they can take a break, go on holiday, or simply log off early without panic. It’s the dream, and it’s absolutely possible!
